From Email to Invoice in Seconds: How AI Email Extraction Works
You agreed on terms over email. Now you need to turn that conversation into an invoice. Hisabi's AI reads the email thread and creates the invoice for you — client details, line items, amounts, and all.

Every freelancer and small business owner knows the drill. You negotiate a project over email — scope, deliverables, timeline, price. Everything is agreed. Now you need to create an invoice, which means re-reading the email thread, pulling out the relevant details, and typing them into an invoice form field by field.
It's tedious, error-prone, and completely unnecessary in 2026. Hisabi's AI email extraction eliminates this step entirely.
How It Works
On the invoice creation page, you'll find the Email Extract bar alongside the AI Input bar. The workflow is simple:
- Paste the email thread or conversation into the extraction field.
- Click extract. The AI reads the entire conversation.
- Hisabi identifies the client name, email, and contact details from the email headers and body.
- Line items are extracted from the discussion — project descriptions, quantities, unit prices, and totals.
- Currency is detected from context (mentions of AED, USD, SAR, etc.).
- The due date is inferred from payment terms mentioned in the email.
- Everything is populated into the invoice form, ready for your review.
Confidence Scoring
Not every email is perfectly structured. Sometimes the pricing is ambiguous, or the client name could be a person or a company. Hisabi's AI handles this with confidence scoring.
Every extracted field gets a confidence score. Fields above 0.7 are filled in normally. Fields below 0.7 get a yellow "needs review" highlight, so you know exactly where to double-check. You're never blindsided by an AI assumption — the uncertainty is surfaced, not hidden.
What Gets Extracted
The AI is trained to identify standard business communication patterns across English and Arabic emails:
- Client name and company from email headers, signatures, and body text.
- Email address for the invoice recipient.
- Line item descriptions with quantities and unit prices.
- Total amounts and currency.
- Payment terms and due dates.
- VAT mentions or tax registration numbers.
- Project references or PO numbers.
Why This Matters for GCC Businesses
A significant amount of business communication in the Gulf happens over email and WhatsApp. Deals are discussed, terms are agreed, and then someone has to formalize everything into documentation. The gap between agreement and invoice is where details get lost, amounts get transposed, and follow-ups get delayed.
Hisabi bridges that gap. The same email where you agreed on the job becomes the source for the invoice. No re-reading, no re-typing, no second-guessing whether the amount was 12,000 or 12,500.
The AI Safety Net
Every AI-extracted invoice goes through Zod schema validation before any data is written. Amounts are verified as valid numbers, dates are parsed into proper formats, and required fields are checked for completeness. The AI assists — it doesn't decide. You review every field before the invoice is finalized.
This isn't AI for the sake of AI. It's a practical tool that eliminates the most tedious part of freelance and SME invoicing — the manual data entry that nobody wants to do but everyone has to.
